Sage Bionetworks is seeking an Administrative Coordinator to support our research and core services teams. In this position, you will work directly with senior leadership to manage their calendars, coordinate meeting and event logistics and assist in recruitment. Your primary goal will be to maximize overall bandwidth and productivity of Sage executives and their teams. At Sage, you will also be an integral part of our business operations team, interfacing with the finance, grant management, HR, IT and general site operations. As a team, we support a wide variety of stakeholders — including computational biologists, research ethicists, software engineers, and data librarians working collaboratively on a diverse portfolio of research projects.

What you’ll be doing:

  • Provide routine administrative support to research and core services teams. You will be responsible for managing and prioritizing competing tasks via multiple clients.
  • Partner with senior leadership to prioritize multiple complex calendars.
  • Serve as a first point of contact to external collaborators and clients.
  • Partner with administrative colleagues and other stakeholders to plan, schedule and coordinate meetings and events.
  • Assist in recruitment through candidate scheduling and communications.
  • Partner with business operations colleagues to administer Sage’s travel policy.
  • May be asked to provide mentorship, training and cross-coverage to administrative colleagues.

  • Have a minimum of 4 years experience as an administrative assistant, executive assistant, or a comparable administrative role.
  • Have experience providing administrative support to multiple individuals at the same time.
  • You are located in the greater Seattle area and have the ability to work onsite on an as-needed basis.
  • Have strong planning, organizational, and time-management skills. You can proactively identify and manage responsibilities to multiple stakeholders with minimal oversight.
  • Are a critical thinker and problem solver; You are observant of barriers to effective communication and processes, and able to adapt your approach to improve these.
  • Demonstrate excellent professional and interpersonal skills in both verbal and written communications.
  • Handle confidential matters with sensitivity and professionalism.

Executive Business Partner

Sage Bionetworks is seeking an Executive Business Partner to support the Office of the President. As an Executive Business Partner, you will leverage your advanced operational project management and administrative skills to support the President and their Executive Leadership Team. You will also serve as a representative of and advocate for the administrative job family on the Operations Leadership Team, alongside experts in HR, finance, and grants management.

A successful candidate will be detail-oriented, highly organized, adaptable, self-driven and have excellent communication and time management skills. In this role you will be responsible for the development and implementation of multiple complex administrative functions with a high degree of latitude for independent judgment and will have broad influence and impact in the organization. What you’ll be doing:

  • Provide routine administrative support for the President, as required.
  • Participate in strategic planning, objectives tracking and decision-making with the President, COO and other members of the Executive Leadership Team.
  • Act as liaison between departments, facilitating cross-team collaboration and understanding.
  • Schedule and host regularly recurring business reviews.
  • Manage and maintain accurate Board-related materials and records.
  • Partner with the President to prepare content for All Staff meetings and events.
  • Partner with administrative colleagues to coordinate meeting, travel, and event logistics.
  • Manage templates and other standard resources used by project managers throughout the organization.
  • Mentor less experienced administrative professionals and represent administrative interests as a member of the Business Operations Leadership Team. May be asked to provide mentorship, training and cross-coverage to administrative colleagues.
  • Collaborate with the President and COO to establish and execute a communications and marketing strategy.

Senior Financial Analyst

We are seeking a finance professional with experience in the nonprofit sector. If you are passionate about working in an organization that is mission driven and have interest or experience in the biomedical research sector, Sage Bionetworks may be a great fit for you.

This role is an integral part of our business operations team supporting multiple stakeholders — including computational biologists, research ethicists, software engineers, and data librarians working collaboratively on a diverse portfolio of research projects. In this position, you will work with the accounting and grant management team, as well as directly with the research teams to manage and forecast our project portfolio.  You will be involved in the planning and financial reporting, and implementation of systems to support decision making.  A successful candidate will be results-oriented, self-driven, adaptable, and willing to explore new solutions as well as work effectively across teams to implement new approaches.

What you will be doing:

  • Forecasting revenue and expenses related to the organization’s project portfolio.
  • Together with the grant management and research teams, managing program budgets and forecasting financial needs.
  • Tracking performance against budget, identifying issues, and communicating with the team
  • Effort Reporting, including providing compliance oversight, and managing, forecasting and certifying effort allocation across projects.
  • Working with the grant management team in pre- and post-award management, specifically in budget development, tracking and reporting.
  • Working with the grant management team to ensure the organization’s grant related practices are compliant.
  • Assisting in the analysis and reporting on the organization’s financial activities to support decision making.
  • Evaluating and implementing new reports and methods for communicating financial information.
  • Evaluating, recommending, and implementing automated systems to support the organization’s financial and grant management processes.

We would love to hear from you if you have the following:

  • Bachelor’s degree in Accounting, Finance, Business, or a related field.
  • Minimum of eight years of experience in a non-profit accounting/finance-oriented or financial grant management position. Experience in the life science sector preferred.
  • Experience with financial reporting, including the ability to create new reports to effectively communicate information.
  • Experience with financial modeling and forecasting software, including the ability to evaluate and implement new systems, as well as improve upon existing systems.
  • Strong Microsoft Excel skills, specifically you must have experience using the Power Query Editor.
  • Experience managing a project portfolio, including developing and tracking budgets.
  • Experience in grant management, both pre- and post-award, preferred.
  • Ability to work independently, handle ambiguity, be solution oriented and comfortable communicating to all levels in the organization.
  • Commitment to working and building consensus with a diverse group of stakeholders toward solutions that support the organization.
  • Strong communication and interpersonal skills.
  • Desire to maximize the contribution of this position through a willingness to explore, create and grow in the role.
